Give every team member the right access, introducing Roles & Permissions in Zineps

As your shipping operation grows, not everyone on your team needs the same level of access. Your warehouse staff need to print labels. Your finance colleague needs invoices and billing - but probably shouldn’t be able to delete shipments or change carrier contracts. Until now, sharing one Zineps account was often the workaround. That works until it doesn’t: passwords get shared, changes can’t be traced to a person, and someone accidentally clicks into an area they shouldn’t.

Roles & Permissions fixes that. You can invite colleagues into your organisation, give each person a role that matches their job, and let Zineps handle the rest.

One owner. A team with clear boundaries.

Every organisation has exactly one Owner - the person who created the account or holds primary responsibility for it. The Owner always has full access. That never changes, and you can’t “remove” the Owner’s access by editing roles.

Everyone else works through roles. A role is a bundle of permissions: what someone can see, create, change, or delete inside Zineps. You can assign one role or several to the same person. If someone wears two hats - say, operations and support - they get the combined access of both roles.

Roles built for how shipping teams actually work

We’ve included five ready-made roles. You don’t need to build access rules from scratch - pick what fits each colleague.

Administrator

Your go-to person for day-to-day platform management. Administrators can invite and remove users, assign roles, manage integrations and carrier contracts, adjust settings, and work across shipments, orders, returns, support, and reporting. They can also use the Zineps API. Subscription and organisation-level actions stay with the Owner and Finance roles.

Operations Manager

Built for the person running fulfilment. Full control over shipments, returns, and orders; can manage automation rules and view reports; can open support tickets. Ideal for a warehouse lead or head of logistics.

Shipping Operator

For the team on the floor. Create and print labels, handle returns, and view orders - without the ability to delete shipments or change deeper settings. Perfect for daily shipping work with guardrails.

Customer Support

Read-focused access for helping customers. View orders, shipments, and returns; create and handle support tickets and claims. No access to billing, settings, or label creation.

Finance

For whoever handles the money side. View and manage billing, invoices, and subscriptions; access financial reports. No access to shipping operations or user management.

Managing your team is straightforward

Head to Company → Users to see everyone in your organisation.

You’ll see how many user seats your subscription includes and how many are in use. If you’re at the limit, Zineps will let you know - and you can upgrade your plan to add more people.

From there you can:

  • Invite new colleagues (if your plan has seats available)
  • Search your user list as the team grows
  • Edit roles for any team member - except the Owner, whose access is always complete

When you assign or change roles, Zineps shows you exactly what changed. If you remove all roles from someone, you’ll get a clear warning first: that person will still be able to log in, but they won’t be able to use most of the platform until you assign a role again.

Tip: After you change someone’s roles, they may need to sign out and back in for everything to update in their browser. API connections tied to a specific user update faster on their own.

What people see when access isn’t granted

Zineps doesn’t leave people guessing. If someone opens a page or feature their role doesn’t cover, they see a friendly “Access Restricted” message - not a broken screen or a confusing error. The message explains that they don’t have permission and suggests contacting their administrator.

That same principle applies across the platform: invoices, settings, shipment creation, automation rules, support tickets, and more. Each area checks whether the signed-in person is allowed in before showing anything sensitive.

Smarter control for API connections

If you connect shops or systems through the Zineps API, you can choose who an integration belongs to:

  • Organisation-wide - any authorised user in your company can use it (the classic setup)
  • A specific user - the integration inherits that person’s roles and permissions

That matters when you want an API key tied to one colleague’s access level, rather than giving every integration full organisation-wide power.

Security without the headache

Roles & Permissions is designed so you get real control without becoming a part-time IT administrator:

  • The Owner is protected - full access, always, and roles can’t be edited for that account
  • Only authorised people can manage roles - typically the Owner and Administrators
  • Permissions apply everywhere - in the web app and through API connections linked to a user
  • Clear defaults - sensible starting points for each role, so most teams can set up in minutes

Getting started

  1. Go to Company → Users
  2. Invite your first colleague (if you have seats available)
  3. Open Edit roles and pick the role that matches their job
  4. Ask them to log in — they’ll only see what their role allows

If someone needs broader access later, update their roles. If they change teams, swap one role for another. The Owner stays in control; everyone else gets exactly what they need - nothing more, nothing less.
